How to Request Authority in Aptly
Overview:
In some situations, you may need to request additional authority to perform certain tasks, approve decisions, or manage delegations. This guide provides step-by-step instructions on how to request authority within Aptly, ensuring you follow your organization’s delegation protocols.
Step 1: Access the Delegation Dashboard
Login to Aptly:
- Login using your credentials or Single Sign-On (SSO) through your organization’s authentication method.
- Once logged in, navigate to the Delegations section via the main menu on the left-hand side.
Delegation Dashboard Overview:
- The Delegation Dashboard provides an overview of your current delegations, pending requests, and authority levels. From here, you can request new delegations or manage existing ones.
Step 2: Requesting a New Delegation of Authority
Click on “Request Authority”:
- From the Delegations dashboard, click the Request Authority button located at the top right of the page.
Fill Out the Request Form:
- In the request form, you’ll need to specify several key details:
- Authority Type: Select the type of authority you need (e.g., budget approval, contract signing, procurement).
- Justification: Provide a clear justification for why this authority is needed. Ensure you align your request with the goals of your department or project.
- Time Frame: Specify the duration for which you need the authority. You can request authority for a specific time frame (e.g., for the duration of a project) or indefinitely.

Select an Approver:
- Aptly will automatically suggest an approver based on the organization's Authority Matrix. Confirm the suggested approver or manually select one if your organization allows.
Submit Request:
- After completing the form, click Submit to send your request. Your approver will be notified of the request and can either approve, modify, or reject it.
Step 3: Tracking Your Request
Monitor Approval Status:
- After submitting your request, navigate to My Requests under the Delegations tab to track its status.
- Requests will be listed as either Pending, Approved, or Rejected. You can view more details by clicking on the specific request.
Follow Up if Necessary:
- If your request remains pending for an extended period, you can follow up with the approver via email or the platform’s built-in notification system to ensure there are no delays.
Step 4: Receiving and Managing the Authority
Receive Notification:
- Once your request is approved, you will receive a notification within Aptly and (if configured) an email confirmation. This notification will detail the specifics of your new authority, including any limits or constraints.
Verify Your Authority:
- Go back to your Delegation Dashboard to review your newly granted authority. Ensure the details (scope, duration, and limitations) match what you requested.
Use Your Authority:
- With the newly granted authority, you can now perform tasks, approve decisions, or manage further delegations according to the organization’s policies. Any actions you take within this authority will be tracked for auditing and compliance purposes.
